Original, dealership-specific definitions for capacity, workflow, repair-order flow, productivity, parts, deployment, and related operating measures.
How to use these definitions
Operational terms become useful only when a dealership states the calculation, event, included work, period, and purpose. These definitions provide a consistent starting point. They do not override manufacturer rules, dealership policy, contracts, accounting guidance, or current technical documentation.
A
Absorption rate
A dealership financial ratio describing how much of a defined overhead base is covered by gross profit from fixed operations, commonly service, parts, and related after-sales departments. The numerator and expense denominator must be stated because practices differ.

The sequence through which a service advisor receives customer concerns, prepares the repair order, coordinates findings and approvals, communicates status, reviews completion, and supports delivery or closeout. It connects customer commitments with changing shop conditions.

The number and mix of service appointments a dealership can responsibly accept for a period while considering technician skills, bays, expected work, parts, advisor load, carryover, and the department's demonstrated ability to complete work. Stated capacity should identify whether it counts appointment slots, technician hours, or bay time, because the three produce very different numbers.

An existing workstation session that a dealership employee is permitted to use under the dealership's identity, access, and operating policies. Authorization is determined by the dealership and should not be confused with physical proximity to a terminal.

A summary value calculated by dividing a selected sales, gross-profit, labor-hour, or line-item total by the number of qualifying repair orders. The exact numerator, included work types, and period must be named for the measure to be interpretable.

The elapsed time between a complete approval request and the decision or next authorized action. It can include customer response, warranty or internal review, incomplete estimate context, repeated contact, and delayed visibility. State whether the clock stops at the first contact attempt or at the recorded customer decision; the two can differ by hours.

Permission for a defined person or role to use a system, session, function, or information under dealership policy. A convenient terminal does not broaden authorization; it provides another managed point for approved access.

Bay utilization
The proportion of available bay time during which a bay is used for the activity defined by the dealership. Occupancy alone does not prove productive work or throughput because a vehicle may wait in a bay for parts, approval, or attention.

A labor hour charged or eligible to be charged on a repair order under the dealership's warranty, internal, or policy rules. Billable hours should not be treated as identical to clock hours, productive time, or incremental revenue.

Capacity planning
The process of matching expected service demand and work mix with technicians, skills, bays, advisors, parts, equipment, systems, schedules, and workflow so the department can make reliable commitments and identify the resource likely to constrain completion.

A vehicle return associated with concern about previously performed work, diagnosis, parts, documentation, or a related condition under the dealership's defined policy. Comeback reporting should distinguish cause and responsibility instead of using the count as a simple individual score.

The interruption that occurs when an employee changes task, location, system, or repair order and then reconstructs the information and attention needed to resume the original work. Its cost includes more than the visible interruption itself.

The elapsed time between defined start and finish events for a repair order or workflow stage. Useful cycle-time reporting names those events and separates work types because arrival, authorization, parts, diagnosis, and closeout conditions can differ materially.

Repair-order work that remains incomplete beyond the dealership's intended day, shift, promise, or planning period. Useful carryover reporting identifies age, repair type, current stage, reason, next action, and whether the delay was necessary. Record the reason beside the count, because work that could not responsibly finish is not the same as work that ran out of day.

A repair order for work authorized and paid by the customer rather than processed primarily as warranty or internal dealership work. Reporting rules, approval path, and included operations should be stated.

The mental effort required to retain repair-order specifications, measurements, findings, parts needs, customer commitments, authorization state, and unfinished documentation while moving among vehicles, applications, and physical locations. Workflow design should reduce unnecessary memory burden without making medical claims.

Recording current findings, status, parts needs, approvals, and required documentation throughout the workday near the time each fact is created, rather than reconstructing and entering a large batch near closing. Required review and quality controls remain in place.

Dealer principal
An owner or senior executive with ultimate responsibility for the dealership or group, including strategic priorities, capital allocation, operating performance, risk, and customer and employee outcomes. Titles and day-to-day involvement vary among organizations.

A core dealership business platform commonly used for repair orders, accounting, customer, vehicle, parts, labor, and other operational records. Capabilities and configuration vary by provider; Service Terminal does not replace the dealership management system.

The structured path from confirming a concern through information review, testing, interpretation, technical support, findings, documentation, and a recommended next action. The path may iterate as evidence changes rather than proceed in a straight line.

The process of assigning and sequencing repair-order work to technicians or teams based on priority, skill, availability, equipment, promised time, and operating rules. Dispatch quality affects both technician flow and work-in-process age.

An organization that owns, operates, or manages multiple dealership locations or franchises under shared leadership or services. Group standardization may cover security, reporting, process, support, and infrastructure while stores retain local variation.

Time devoted to confirming a concern, retrieving information, testing, interpreting results, consulting support, documenting findings, and determining the next technical action. It should not be treated as avoidable delay merely because no physical repair occurs.

An abbreviation for dealership management system, the core platform used for selected dealership records and business processes. Capabilities vary by provider and configuration. Service Terminal does not replace the DMS or claim unverified native integration.

Elapsed time between completing or learning a required fact and entering the accurate record needed for repair-order progression, quality, warranty, billing, communication, or closeout. Deferred entry can create downstream waiting and context reconstruction. The start event is the moment the fact became known, not the moment the employee next reached a workstation.

Effective labor rate
Realized labor sales divided by the associated sold or billed labor hours for a defined set of repair orders and period. Inclusion rules for warranty, internal, discounts, fees, and labor types should be documented. Because it nets discounts, warranty rates, and internal work, it is usually lower than the posted rate and should not be substituted for it silently.

A governed rollout across multiple stores or operating units using common security, configuration, support, lifecycle, measurement, and decision standards while allowing approved adaptation for local workflow, layout, staffing, and systems.

Fixed operations
The dealership functions centered on service, parts, collision, warranty, and related after-sales activity that continues after a vehicle sale. Performance depends on coordination among technical, customer-facing, inventory, management, and supporting systems.

A leader responsible for the coordinated performance of dealership after-sales departments, often including service and parts across one or more locations. Responsibilities may include capacity, financial performance, process, staffing, customer commitments, quality, and standardization.

A general term for an experienced shop leader who supports diagnosis, technical decisions, work coordination, escalation, coaching, and quality. In a dealership service department the role is usually titled shop foreman; see that entry for the fuller description.

A dealership-defined measure of whether a concern was correctly diagnosed and resolved without a related return or repeated corrective work during the chosen period. Definitions must address unrelated failures and customer-use conditions. Define the return window and which repeat visits count, because a short window will flatter the rate.

Hardened operating system
An operating-system configuration intentionally restricted and maintained to reduce unnecessary services, software, privileges, or changes for its defined use. The phrase alone does not identify a certification or describe every security control.

Idle time
Available employee, bay, equipment, or repair-order time during which the next useful action is not occurring. A meaningful analysis identifies the reason, because waiting for work, parts, approval, access, or technical support requires different responses.

Labor capacity
The practical amount of labor work a department can correctly complete with its available qualified people, time, bays, tools, supporting roles, and workflow. It is lower than a theoretical schedule when constraints and variation consume time.

A ratio comparing credited, sold, or standard labor hours with the technician time assigned under the dealership's chosen method. The calculation must be named explicitly and should be read with utilization, quality, work mix, and throughput.

Revenue recorded for labor work on qualifying repair orders under the dealership's accounting and reporting rules. Labor sales are affected by demand, authorization, work mix, completed hours, discounts, warranty and internal policies, and closeout. State whether the figure is gross or net of discounts and which repair-order types are included. Compare with gross labor sales, which is stated before deductions.

Labor sales minus the direct labor cost or other cost basis defined by the dealership's accounting method for the selected period. The calculation should document included payroll, benefits, adjustments, and work categories. Confirm which direct costs are deducted, because technician pay treatment varies between dealerships.

A monetary amount associated with a labor hour under the dealership's reporting method. Posted, door, warranty, internal, matrix, and effective rates can differ, so the specific rate used in a model must be labeled. Specify posted, effective, or a published matrix rate; a model that mixes them will overstate the opportunity.

Managed endpoint
A computing device operated under defined configuration, update, monitoring, support, inventory, lifecycle, and security responsibilities. Managed status describes an operating process; it should be verified through current controls and evidence rather than assumed from hardware ownership.

A structured vehicle inspection covering dealership-defined items and conditions, often used to document findings and support service recommendations. Completion quality depends on accurate observation, documentation, review, communication, and any required customer authorization.

OEM diagnostic software
Vehicle-manufacturer software used for approved diagnostic, information, configuration, or related technical functions according to the manufacturer's requirements. Service Terminal does not replace OEM diagnostic or programming software and does not claim a native integration without verification.

The resource, decision, queue, or workflow stage that most limits the rate of completed work in the current operating system. The bottleneck can move after improvement or as demand, staffing, repair mix, and time change.

The rate at which any defined operating system produces correctly completed units of work over time. Used when the unit is something other than a repair order, such as inspections, estimates, or parts requests; for repair orders specifically, see repair order throughput.

Parts wait
Elapsed time during which a repair order cannot advance because a required parts action remains unresolved. The category should distinguish identification, authorization, ordering, supplier delivery, receipt, staging, notification, and technician availability. Break the total into identification, approval, supply, and notification time before treating it as a supplier problem.

Available work time spent on necessary value-producing activity. For technicians this can include repair, diagnosis, programming, research, inspection, documentation, and quality work, not only physical wrenching at the vehicle. Necessary documentation, research, and programming should count as productive, because excluding them rewards incomplete records.

The controlled sequence used to prepare, authorize, connect, execute, verify, and document vehicle module programming or configuration under applicable technical requirements. Service Terminal does not replace programming software, tools, procedures, power support, or technician judgment.

The proportion of eligible parts demand satisfied from the defined inventory or supply source within a stated time and rule. The denominator, supersessions, emergency purchases, and special orders determine how the value should be interpreted.

A comparison of selected parts sales or gross profit with selected labor sales or gross profit over the same qualifying repair orders and period. It is descriptive and varies with work mix and accounting rules.

The time or window communicated for a customer update, repair completion, delivery, or next decision. It should reflect current information and uncertainty, and changes should be communicated before the commitment is missed when possible. Track the original promise and any revision separately, because measuring only the latest promise can hide repeated slippage.

Repair order
The dealership record that organizes customer or internal concerns, authorized operations, labor, parts, findings, status, documentation, charges, and completion for vehicle service work. Exact fields, legal effect, and processes depend on dealership systems and policy.

The measure emphasizes correctly completed flow rather than work merely opened or currently active. Count completed and closed work rather than opened work, and hold the completion event constant between periods.

Work repeated or corrected because a prior action, part, diagnosis, repair, entry, or document did not meet the required outcome. Rework categories should identify cause and learning opportunity rather than combine every revision into one punitive measure.

Repair mix affects labor hours, parts, skills, cycle time, and capacity comparisons. Segment before comparing periods, because a shift toward heavier work can look like a decline in performance.

The elapsed time an open repair order has spent in the workflow or a defined stage. Aging becomes actionable when paired with work type, current status, next action, owner, promised time, and delay reason. Age from the last substantive update rather than from the open date, so an actively progressing repair is not confused with a stalled one.

Same-day completion
Completion of the dealership-defined required repair, documentation, quality, communication, and closeout events within the intended operating day for eligible work. The definition should state which event counts and which repair types are comparable. Name which completion event counts and which repair orders are eligible, or the rate can be improved by exclusion alone.

Technician efficiency
A dealership-defined comparison between credited, sold, or standard labor hours and the technician time used. It is not identical to utilization, productive time, proficiency, quality, repair-order throughput, or total service capacity. It compares sold or standard hours with time spent and says nothing about whether the department completed and closed the work.

The useful repair, diagnostic, programming, inspection, documentation, quality, and supporting work completed from technician time available. Responsible improvement removes avoidable friction while preserving correct technical procedure and complete records. Read it beside quality and documentation completeness rather than alone, because faster output that increases corrections is not a gain.

The share of available technician time assigned to or spent on the work categories defined as productive by the dealership. A high value does not by itself demonstrate efficiency, quality, throughput, or profitable demand. High utilization is not automatically good; a continuously occupied resource has no capacity left to absorb normal variation.

The rate of correctly completed units flowing through a defined system over time. The unit, start, finish, quality rule, and period must be named, and excess work in process should not be mistaken for output.

Elapsed time during which a repair order, vehicle, part, or task is actively being worked on under a stated definition. Touch time is distinct from total cycle time, which also includes queues and waiting. Distinguish it from elapsed time, because a repair with two hours of touch time can occupy a bay for two days.

Workflow infrastructure
The physical access points, software access, security controls, operating processes, support, and lifecycle systems that allow authorized employees to complete work across locations and departments. The design connects digital systems with physical operations.

The nonproductive time introduced between useful work steps because employees must walk, wait, relocate, re-enter information, regain system access, or switch operational context. It should be separated from necessary process duration. Separate the interval before the record is updated from the interval before the next role acts, because different owners control each.

Repair orders or vehicles that have entered the service workflow but have not reached the dealership's defined completion event. Work-in-process reporting is most actionable when it includes current stage, age, next action, and owner. Rising work in process alongside flat completions indicates a constraint, not additional capacity.

A repair order or operation processed under the applicable warranty program, documentation, authorization, technical, parts, time, and submission requirements. Rules vary by manufacturer and program and must be followed as currently issued.

Gross labor sales
Total recorded labor revenue before specified deductions or associated direct costs for the selected repair orders and period. The measure is not identical to labor gross profit, cash collected, billable hours, or incremental revenue. It is not labor gross profit, cash collected, billable hours, or incremental revenue; state which of these a business case is using.

Job staging
Preparing a repair order, vehicle, parts, tools, information, approvals, and other prerequisites so the next assigned employee can begin useful work with less avoidable delay. Staging should not release incomplete work to a constrained resource.
